    2. account verification details when you sign up, such as graduation year, course, faculty or student number (on request of your educational institution);
    3. text content included in your CV, cover letter and/or LinkedIn profile (exclusively to provide you with personalised feedback);
    4. IP address (collected when you log in, for security purposes);
    5. other information (such as contact information) when you fill out a form, open a support ticket, enter or upload information on our Website (such as a job description), or provide us with feedback;

in each case, in accordance with this privacy policy.

  1. CareerSet will collect your Data in a number of ways, for example:

    2. your affiliated educational institution that granted access to CareerSet - to provide valuable insights into your usage and feedback, ultimately enhancing personalised career support;
    3. your affiliated educational institution's career centre management system provider (if applicable, Group GTI) - to ensure efficient storage of student information for enhanced service delivery;
    4. our hosting provider, DigitalOcean - to securely store our data and make our website accessible via our registered domain;
    5. third-party entity OpenAI - we collaborate with OpenAI to power our optional 'Writing Suggestions' features. When you request writing suggestions, only the selected content is shared with OpenAI, excluding any personally identifiable information or other parts of your CV, cover letter or LinkedIn profile;

in each case, in accordance with this privacy policy.

Keeping Data secure
  1. We will use technical and organisational measures to safeguard your Data, for example:
    1. access to your account is controlled by a username that is unique to you;
    2. we store data on servers with ISO/IEC 27001:2013 certification;
    3. we use Transport Layer Security (TLS, protected by SSL certification) to secure traffic between the web browser and our website via HTTPS;
    4. we provide encryption at rest and have two daily automated backup mechanisms in place;
    5. we harness advanced web application firewall and vulnerability monitoring, and conduct penetration tests on a regular basis.

Data retention
  1. We will only retain your Data on our systems for the duration necessary to fulfill the purposes outlined in this privacy policy or until you request its deletion. We automatically delete feedback reports 36 months after submission and user information (name, other verification details) 36 months after the last login. Your data may also be deleted when we cease our collaboration with the educational institution that granted you access to CareerSet.
  2. Even if we delete your Data, it may persist on backup or archival media for legal, tax or regulatory purposes.
Your rights
  1. You have the following rights in relation to your Data:
    1. Right to access - the right to request (i) copies of the information we hold about you at any time, or (ii) that we modify, update or delete such information. If we provide you with access to the information we hold about you, we will not charge you for this, unless your request is "manifestly unfounded or excessive." Where we are legally permitted to do so, we may refuse your request. If we refuse your request, we will tell you the reasons why.
    2. Right to correct - the right to have your Data rectified if it is inaccurate or incomplete.
    3. Right to erase - the right to request that we delete or remove your Data from our systems.
    4. Right to restrict our use of your Data - the right to "block" us from using your Data or limit the way in which we can use it.
    5. Right to data portability - the right to request that we move, copy or transfer your Data.

Data aggregation and analytics

This information is used strictly for analytics purposes and to help us improve the features and quality of our Website and Service. Such anonymised data will have all direct personal identifiers removed such as name, ID numbers, date of birth, demographic information, geolocation information etc. We may share aggregated information that includes non-identifying information with third parties for industry analysis and demographic profiling. Furthermore, we agree not to attempt to re-identify anonymised data. Users shall not be entitled to any compensation stemming from the use of such aggregated or anonymised information.
